When a property manager uses Rentler for their properties, they must claim the properties as their own. When the properties change ownership whether it’s a company or person they must create their own Rentler account. When they do this and try to claim the properties they become blocked by a message that says that it has already been claimed and to contact customer support for assistance.
(85% of cases are property managers, 10% are from Investor to Investor properties while only 5% are from Owner to Owner Properties)* These numbers are rough estimates from our support team as we do not track who is having the issue only the number of issues.
Not only does the users experiencing a prompt to call customer support minutes after they try and create a property, but they are now blocked from further using the software until the problem is resolved. In the majority of these cases they are users who have just signed up with Rentler.
This is one of the biggest support call issues. Hours are lost every day in responding,verifying and reassigning properties.
Cause #1: Users will try and duplicate accounts and properties to get more free listings from the two free listings allowance.
Cause #2: Users and companies will create multiple accounts and listing for the same properties to play “king of the hill” (Always appear at the top) within the listings platform.Cause #2: Scammers will claim properties as their own to get through the system to payments to conduct fraudulent activity.
Could we simply transfer the account over to the new owner and keep everything in tact(listings, properties)?
NO, Transferring accounts would be a very difficult task for devs. Removing and storing sensitive data and the possibility of mixing account information.
Changing the Name on the account from old owner to new:
NO, Due to the data integrity and sensitivity of the information. Also the system wasn’t originally architected to handle the requests.
When the user adds a property that has already been claimed they are still allowed access to the site but are not allowed to post listings or create payments until it has been resolved.
Should we still inform them upfront of the claim issue but allow them to move forward?
No, Better not to worry them with something that maybe resolved.
Should we inform them when they try to activate the listing or setup a payment if the review is not resolved by the admin by then?
Yes
The double claimed property will be flagged in the admin system for further review and once the admin has cleared the account that user will be able to continue as normal.
Because the majority of the claimed property issues come from product managers (MultiHomes) and communities, adding a tag to the properties would allow the admins to more quickly review and approve those property changes.
Last activity on the property (If a user sells their home it is unlikely they will come back and remove it from their account)
Husband Account and Wife Account. Only one account is allowed to claim the property. (Could we in some way link them?)
Unfortunately, due to lack of funding I have no idea if this solution was implemented or considered in solving one of the bigger problems we faced.
